Job Description

Job Title: Compliance Officer

Location: SweetTree Home Care Services - Coleridge House, 1 Coleridge Gardens, London NW6 3QH
Schedule:  Monday - Friday 9am-5pm. 37.5 hours weekly
Salary:  £30,000 per annum
Employment Type: Full-time

Purpose of the Role:
SweetTree is seeking a detail-oriented and diligent Compliance Officer to ensure the smooth operation of our daily activities and to drive higher levels of compliance with company policies and procedures. This cross-functional role will focus on improving operational, office, and care/quality compliance, serving as a conduit for best practices across the company.

Key Responsibilities:

  • Perform daily audits, track compliance issues, and escalate as needed.
  • Maintain visible records of daily compliance anomalies, escalating issues to managers or HR as necessary.
  • Maintain records of non-compliance, follow up with Support Workers, and resolve discrepancies.
  • Audit Electronic Medication Administration Record (EMAR), ensuring best practices and addressing gaps.
  • Conduct audits on support worker locations, follow up discrepancies, and assist with remedial action.
  • Support the coordination of clock-in/clock-out procedures.
  • Audit Daily Support Records (DSR) and follow up on missing or incomplete forms.
  • Escalate concerns from DSRs into the official Concerns, Complaints, and Incidents (CCI) procedure.
  • Maintain and update the Concerns, Complaints, and Incidents (CCI) database.
  • Support the upkeep and renewal of the company’s Policies and Procedures.
  • Provide weekly compliance reports, tracking compliance queries and reporting on KPIs.
  • Take notes and maintain records from weekly compliance meetings, ensuring actions and outcomes are properly logged.
  • Assist in various compliance-related project work.
  • Support GDPR/Data Protection work and assist the Finance Director in maintaining records.
  • Identify opportunities for process improvement and recommend changes.
  • Provide occasional reception cover during leave periods.

Person Specification:
Essential Skills and Experience

  • Previous experience in home care, healthcare compliance, or a similar field is a strong advantage.
  • Exceptional organisational & admin skills, and attention to detail.
  • Strong communication skills, with the ability to engage and support individuals at all levels.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and experience with compliance reporting tools.
  • Ability to work independently and collaboratively in cross-functional teams.
  • A proactive, problem-solving mindset with a “can-do” attitude.
  • A qualification in business administration or CIPD is desirable
